Approved staff use shared learners; full-access finance derives predictions from them only. Test/draft records are excluded. Recorded names never grant account access.

Shared CRM migration — backup first

Keep two protected copies. This backup contains personal data and test/draft records; hosted migration is not enabled.

Use one designated browser and computer for all learner additions and imports — data does not sync between browsers.
Download a backup before and after each monthly import or batch of manual additions; then click “Check downloaded backup”.
Store files in a restricted NSPP location with the date in the name; never edit them (any change breaks the checksum).
Not included: SharePoint files (stay in SharePoint), session-only compliance/WhatsApp previews, and anything in other browsers.

Data storage and backup

All learner records, uploads and 0 snapshot(s) are held only in this browser. They are not on a server, not visible on other computers, and are lost if browser data is cleared. Download a backup after each monthly upload and keep it somewhere secure — the file contains personal data.

Durable, cross-device storage needs a secure sign-in-protected server database. That has not been switched on — learner data has not been sent anywhere.

Clear all learner data (this browser only)

Removes every learner record, learner edits, upload snapshots and import history held in this browser, so the next spreadsheet import starts from a clean slate. Funding contracts, contract documents, invoices, receipts, their audit history and settings are kept. A full backup downloads first and must succeed before anything is cleared.

Learners uses the shared database. Finance, legacy reports and browser backups remain separate; no automatic migration or publication.
